How to work with IWO - Email:
- Summarize issue on subject line.
- Give your reader full context at the start of the message.
- CC people only with a point; indicate why each person should care (e.g. HC: for x project).
- Send separate messages rather than BCC so you can indicate reason for the copy.
- Make action requests and due dates clear.
- Separate topics into separate emails . . . up to a point.
- Combine separate minor points in one message.
- Edit forwarded messages to points that remain relevant to your response.
- Include topic/agenda in the invitation when scheduling a phone call or meeting
- Keep email to one page or less.
- Understand how different people prefer to be reached and how quickly they respond.
- Include http:// with the URL addresses so recipient can invoke the URL immediately without extra steps.
How to work with IWO - Meeting Maker:
- Use short, abbreviated names so location appears in the reports; move full text to notes or agenda when needed.
- Provide a concise meeting agenda before the meeting, ideally in the meeting proposal.
- Propose meetings at least 2 workdays in advance of the meeting.
- Contact "required" invitees by phone the day of the meeting when the individual has not responded. He/she may not be aware of the meeting.
